Setting up users

Users let your colleagues sign in to TrackMyMachines and let you put a tablet on the shop floor next to a machine. You manage them from Manage → Users.

Click New User to add someone. The form changes depending on the role you pick, so choose the role first.

Roles

Every user has one role. The role controls what they can see and do. This is the short version — see Roles and permissions for the full breakdown.

Engineer

The default role — most of your team should be Engineers. Engineers can:

  • View the Live Dashboard, Operations Timeline, Charts and Overview
  • Read reports and insights
  • See machine events and resolve downtime reasons

Engineers cannot manage other users, machines or organisation settings.

Manager

Everything an Engineer can do, plus the shop floor itself:

  • Machines, machine groups and areas
  • Components, shift patterns, the shift planner and work orders (when enabled)
  • Downtime reasons, downtime alerts, insights, custom reports and email schedules

A Manager cannot touch the organisation account — no organisation settings, no users, no API keys.

Admin

Full access to the organisation: everything a Manager can do, plus organisation settings, users, API keys and the Operator Panel configuration.

note

Admins can add Engineers, Managers, Tablets, Displays and NoLogin users — but not other Admins. Ask TrackMyMachines support to add or change an Admin account.

Tablet

A tablet is a device account, not a person. It is tied to a single machine and is meant to run on a tablet mounted next to that machine so operators can log downtime and jobs.

A Tablet user:

  • Logs in by scanning a QR code (see Adding tablets)
  • Lands directly on that machine's Operator Panel
  • Cannot open the dashboards, timeline or charts

When you create a Tablet user you set a username (for example tablet_01) and the machine it controls instead of an email address. See Adding tablets for the full walkthrough.

Display (TV)

A device account for a screen on the factory wall. A Display user signs in by QR code, lands on the full-screen andon board, and can reach nothing else.

Give it a username (for example andon_tv_01) instead of an email address. Set Area Gating if the screen should show only one part of the factory.

What is NoLogin?

NoLogin is a user that exists for record-keeping but can never sign in. It has no password and gets no invitation email.

Use it for ERP and API integrations. When an outside system reports who ran a job or caused a stoppage, that person needs a user record so their activity shows up in reports — but they don't need to log in to TrackMyMachines. A NoLogin user gives you that attribution without handing out access.

You can set a Foreign ID on a NoLogin user to match them to their ID in your ERP system. NoLogin users show an API Only badge in the user list, and the API can also create them automatically when it sees a new person.

Inviting an Engineer or Manager

  1. Go to Manage → Users and click New User
  2. Leave the role as Engineer, or choose Manager
  3. Enter the user's email address
  4. Optionally set Area Gating to restrict the user to one area and its children, and a timezone
  5. Click Create User

The new user is emailed an invitation. They follow the link in that email to set their own password and sign in. If the invitation is lost, open the user from the list and use Resend Invitation.

Pairing a Tablet or Display

Tablets and Displays don't use email invitations. They sign in by scanning a QR code that contains a one-time login link, generated from their row on the Users list with Show QR.

For the full Tablet walkthrough — creating the user and pairing the device — see Adding tablets.

A Display (TV) user pairs exactly the same way:

  1. Create it with New User → role Display (TV) and a username
  2. Click Show QR on its row
  3. Scan the QR code on the screen's device, or type the username and password shown next to it by hand

Scanning the code opens the login page with the credentials already filled in. Tapping Log In signs the device in with Remember me ticked, so it stays logged in. A Display lands on the andon board instead of an Operator Panel.

warning

Clicking Show QR generates a new password each time. This signs out any device currently using the old code, so only generate a fresh QR code when you intend to re-pair it.
